Replacing a physical document stamp

Hi, hope someone out there can help. As part of accounting procedures we use a stamp on invoices, there are a few boxes to manually fill in such as date, persons initials, day book number and nominal code. I'm hoping to use Nitro Pro to cut down printing, stamping and scanning and keep everything electronic. So, what would be the best way to replace my physical stamp? I can only see one option with the software and that would be to use a text box and write the information on each time but this is not ideal as I'm going to have to repeat the titles each time. Would anyone have any suggestions? Many thanks in advance.
